Board of Directors Meeting

September 29,2009 Green Bay, Wisconsin

Meeting called to order by President John Schmahl at 7:05PM. Roll call taken and the following people were present: John Schmahl, Kathy Schroeder, Diane Baier, Linda Ehret, Kathy Doyle, Larry Lemke, H. Anne Lemke, Beth Treptow, Cindy Tousey, Scharleen Schmahl(Tim), Carol Klamrowski, Pat Gauthier, Keri Smith, Elizabeth Widmar, Joe Spak, Lance Treptow, Robert Milkie.

John announced to the board that a dear friend of the WQHA, Bette Delwiche Voecks, had passed away on Saturday of the Silver Dollar shows in a car accident. She was an instrumental member during the 1970’s and 1980’s. She will be greatly missed.

Secretaries Report-A motion was made by Robert Milkie to accept as mailed/emailed. Seconded by Cindy Tousey. Approved

Financial Report-There was not much activity at this time. The monies have come in from the state shows, but nothing has been put together yet, for income and expense. The report that the board has been waiting for from the financial people will be run and sent out before the board meeting so the members of the board can look it over and see if there are any questions by the time of the meeting on Oct. 31. Motion was made by Scharleen and seconded by Keri to accept the financials has handed out. Approved

State Show Report-I would like to Thank Joe Spak for the great job with the sponsorships for the 2009 show season. He also has agreed to do it again for 2010 and we all appreciate his hard work. Thanks again Joe!! Not much to report at this time. They show went quite well. A few glitches, but everything was worked out. The barrels were run again on Friday evening. I think they had a good turnout. We had 10 exhibitors in the AQHA barrels, one down from 2008 show. There was some discussion is we were going to have them back again for 2010 show or try something different. Some different options were mentioned and they were tabled until next meeting. A special THANK YOU also to the BRICKHAM FAMILY. The meal that they sponsored on Friday night was delicious and no one went away hungry. THANK YOU AGAIN BROOKS, MIKI AND MORGAN, Ellie and Lucky.

Show Coordination Report-The annual show coordination meeting will be held on Oct. 31 at 10:00AM at the Ramada Inn in Fond du Lac, WI. 1 Main Street, 54935. All show managers/secretaries are required to be present at this meeting. There will be some discussion on the upcoming class changes from the AQHA for 2010 and how it will affect our show bills and show season.

Membership Report-None at this time

Trail Ride Report-A special THANK YOU to Elizabeth Widmar for doing such an excellent job on this years ride. She is already making plans for the 2010 ride so please plan on attending or giving Biz a helping hand.

Regional Experience Report-At this time the show is going to be held in ST. Paul for 2010. There was a profit of $1000 from the 2009 show. They are not sure if they are going to have support from the AQHA in 2010. We will have to wait and see.

Horse Fair Report-11 stalls have been paid for 2010. Biz Widmar will be the demo again this coming year and is need of 6 horses to perform. Please contact her if you can give her a helping hand. John Schmahl will run the booth, again this year and the AQHA will be sending there representative again to have the online service available for spectators and members.

Youth Report-The youth team won the Spirit Award this year at the youth world. Congratulations Youth Team. Sue Merkatoris would like to give a SPECIAL THANK YOU to ALL THE WQHYA YOUTH MEMBERS. She is very proud of all the exhibitors/members, for all the hard work you did throughout the show season of 2009. You raised $3600 profit from the Packer ticket raffle alone, besides the other fundraisers during the year. Also thank you to Brooks Brickham for donating the Packer Package to the youth for the raffle.

Amateur Report-None at this time

OLD BUSINESS

Kathy Doyle had written a grant for $4000 that we received from the AQHA. We met with, Dan Gruenwald and the group from a schools equestrian program that was going to be getting the monies. They decided that they did not want the monies, so it is being returned to the AQHA. We will be writing another grant for 2010 and will be using that funding, if we get it, for the Horse Fair and the Open Show Program.

Hall of Fame-Nominations are being accepted by Robert Milkie and the forms were in the latest mailing that was received. The meeting by the committee will be held at the Milkie home on Dec. 18.

NEW BUSINESS

There was some discussion on things that should be brought up at the meeting for the districts. John asked if there were any suggestions for by-law changes that need to be discussed and none were mentioned. Dist. 5/6 would like to see an evaluation form put out at shows for exhibitors to fill out. They also said they, if exhibitors were new, would like to be WELCOMED at the shows by members of the WQHA. There was more discussion on the evaluation form and a committee is being setup and headed by Ron Miller, per Ron’s email, to get this questionnaire together. Joe Spak brought to the meeting a form that they drew up and it may be suitable to use, just as is.

There was a rule change discussion on dropping the walk trot and making is strictly Small Fry. Discussion followed and it will again be discussed or a proposal made and brought to show coordination meeting. It will have to be decided what age limitation it will need, what classes will be offered to shows, etc…

The district meetings also need to send in or have ready at the next meeting the nominations for district directors. The regional VP’s need to have the officers nominated ready, also. It was given out how many directors each district has at the meeting. Also mention at your district meetings that ALL board meetings are OPEN TO ALL WQHA MEMBERS. Input is always needed to help the organization grow.

The next meeting is the ANNUAL MEETING day.

SHOW AND CONTEST RULE SUGGESTIONS

ITEM 2 P-B Do we want to continue the 33 show limit, and continue to discourage weekly shows? P-C Do we continue to require that each show grounds have 50 available stalls to rent?

ITEM 8 Is the sentence requiring that classes are run to WQHA requirements still relevant?

ITEM 12 Do we want to keep the rule limiting WQHA approval to 1 show or 1 sale to a date? Do we need to add a rule requiring that the WQHA computer progam and number system be used? (For point calculation purposes)

ITEM 13 Are we going to enforce - Judges being from out of state Judges only judging one Wisconsin show per year ITEM 14 Is March 1st still a good cut-off date for the show approvals to set the current year calendar?

ITEM 18 Should we add a rule that states that classes must be on the published show bill to count for WQHA year end awards?

ITEM 19 Do we want to add that any of the approved AQHA classes (A thru O), MAY be offered as JR and SR for year end awards?

ITEM 19A Do we need to delete the paragraph limiting select to 3 classes for year-end awards? Add that AQHA amateur classes, (B thru I) may be also offered in the select division? Add western riding and pleasure driving as additional classes? Add additional classes to the list of Novice classes? (Trail, western riding)

ITEM 21 Add a sentence stating that youth may be offered as 13 & under and 14-18 divisions. Delete Y and Z? (Walk-trot 10 and under Western Horsemanship, Walk-trot 10 and under Hunt Seat Equitation) NEW

ITEM 23 Create Small Fry 9 and under division with suggested classes for shows to offer? (Showmanship, Western Pleasure, Trail, Horsemanship, Hunter Under Saddle, Equitation) Small Fry classes will be point classes for WQHA year end awards, Providing they are held in not less that 10 WQHA approved shows. Rules of ownership are the same as any other youth.

Walk-Trot Only. Riders may show in halter, but not in any class in which the lope of canter are REQUIRED.

YEAR END AWARDS

PAGE 3 Do we need to exclude the youth halter points from the youth high point award?

Do we need to add a rule stating that small fry points DO NOT count for youth high point awards or youth 300 point awards?

Do we need to change the word TROPHY to AWARD in ALL instances?

We currently recognize the high point and reserve youth in both the 13 and under, and 14-18 divisions.

In addition to the all-around and reserve should we recognize a separate high point amateur and reserve?

Select high point and reserve in addition to the high point all-around?

Currently when classes are combined to All Age in Open and All age Youth from their respective JR/SR, 13 & under and 14-18, divisions we split the WQHA state points back to their respective division classes.

Should we be doing the same when Amateur and Amateur Select are combined at shows?
